One changed form field. A week of missed enquiries.
A form can look fine even after its handoff stops working. An enquiry may arrive, then fail to reach the person who needs to reply.
Where the handoff fails
An agency owner described a common problem: a small change to a form can break its automation, and nobody notices for days. A customer changes a field label, adds an option, or enters an unexpected answer. The form still accepts the enquiry, but the next step may not recognise the information.
Connecting the form is only the start. Test it with the kinds of answers customers actually give, and make sure a failed handoff is visible. That gives the owner a chance to catch the problem before the inbox stays quiet for a week.
Map the work and test the route
Follow one enquiry from arrival to reply. Decide which details the owner needs and where they should appear. Include cases where a customer leaves a field blank or answers in an unexpected way.
Send a test enquiry and trace it to its destination. Check what information arrived and whether the next step appears in the activity record. After changing a form, run the check again. It is routine housekeeping, and the owner should not have to build a technical project to do it.

Make missed steps visible
Google has announced an early-access Gemini agent for some small-business customers that can work with connected business tools. Google says it is not generally available yet. More tools are offering delegated work, but that alone does not make a handoff reliable. The owner still needs to know where an enquiry went and whether the process ran.
For a small firm, the useful measure is whether a customer’s details reach the right place, and whether anyone can see when they do not.

How WorkMate OS handles the handoff
WorkMate OS has named teammates for jobs such as inbox and bookings. They share one Brain, so business details and corrections carry between them. The activity log shows what ran, when, and what it produced. Customer-facing work follows draft, review, send, so the owner approves a reply before it goes out.
You do not need to assemble separate assistants to make an enquiry handoff part of the working day. The crew handles connected work with shared business context and a visible record. When the form or process changes, the owner should still check that enquiries reach the right place.

When a form change could make a lead disappear, follow one real enquiry all the way to the reply. That shows whether the process works for the business.
