The customer called while the tools were in your hands.

You are halfway through fitting a kitchen when your phone rings. You cannot safely stop, wipe your hands and take the call. By the time you get back to the van, you have to find the number, remember to call back and ask the questions you would have asked at the time.

A missed call costs more than the minutes spent talking. It interrupts the job and leaves extra admin for later.

The phone rings at the wrong time

In a survey of over 220 tradespeople, Fix Radio reported that 60% struggled to answer the phone while working, and 34% believed they had lost work because they could not answer.

Voicemail does not always help. Moneypenny surveyed 300 microbusinesses and examined call data from 10,000 businesses. Its report found that 69% of callers who reached voicemail did not leave a message.

So you stop the job to answer, or keep working and risk missing why someone called. Either way, you still have a call-back to remember.

Answer the call, then review what happens

WorkMate OS has a voice module designed to answer a real phone number. The caller can explain why they are calling while you stay on the job. The crew can record the details for you to review afterwards.

You still decide what to promise. Outward-facing work follows draft, review and send, so you approve any follow-up. The activity log shows what ran, when it ran and what it produced.

A customer might ask you to look at a leaking gutter. Their name, number, location and request give you a starting point. When you have a safe moment, you can call back, arrange a visit or say you cannot take the work.

Fewer missed calls, with the decision still yours

A caller does not have to be left with a ringing phone and an empty voicemail while you are busy. You choose which jobs to take and what to tell each customer.

If the enquiry needs a personal conversation, you can make the call yourself. For a straightforward request, the captured details give you something to work from. You do not have to rely on remembering a missed ring to know what to do next.

We have written about the phone ringing while you are on the job and keeping a call moving while an answer is found. Both come back to the same practical point: a caller needs a useful response, even when you cannot step away from the work.

If you are a builder or small contractor, you can keep handling customer conversations as you do now. The voice module covers the times you cannot answer, and leaves the next step for your approval.
