The clinic inbox fills while the next patient waits.

After an appointment, a physio opens the inbox. A patient wants to move next week’s session; another has a question that needs clinical judgement. Sorting both by hand takes time away from patients and follow-up.

Admin between patients

Appointment changes, directions, insurer paperwork and questions from current patients can all land together. Some need a clinician’s answer. The rest may be routine, but still need someone to notice and handle them.

The owner has to scan each message, work out what it needs and remember to come back to anything that must wait. Between appointments, that queue is hard to keep on top of.

The Cliniko 2021 Allied Health Survey found that 24% of clinics surveyed employed no administrators, while 53% of solo practitioners said they did all the work themselves. The survey covered allied health overall, including physiotherapists. In that same survey, 11.4% named finding time for admin as their biggest hurdle, and contacting patients outside appointments was a main admin bugbear for 21%.

A clearer inbox

An inbox mate sorts what needs your attention. Appointment changes, unanswered questions and messages for a clinician are brought into view. Routine admin is grouped for review.

It does not give treatment advice or send sensitive replies on its own. Messages that need clinical judgement go to someone who can make that call. Replies for patients stay in draft until the owner reviews and approves them.
