The planting plan changed. Did everyone get the message?

A client approves a different border planting while you are laying turf. You jot it down between jobs, then pass it on to whoever handles the quote, follow-up and customer update. Miss one handover, and the old plan may resurface.

A small correction can become a second job

Landscaping plans change as customers make decisions. A plant is unavailable, the client chooses a different colour scheme, or a site visit reveals a shady patch that the photos missed. It may take only a sentence to record the change, but everyone working on that job needs to know.

If the correction sits in a text thread, notebook or someone’s memory, you become the messenger. You stop work to find the note, explain it again and check that the next reply reflects the change. Between sites, that admin can wait until later, when it is easier to muddle the details.

The pressure on owners reaches beyond landscaping. The Office of the Small Business Commissioner’s 2025 UK research found that staff at affected businesses spent an average of 86 hours a year chasing late payments. Repeating job details is a different task, but it takes time from the same owner.

One correction, available to every mate

WorkMate OS has named AI teammates for different jobs, all using one shared Brain. Correct a client’s planting preference in the business memory, and the other mates can use the new detail too. The inbox mate, bookings mate and copy mate do not each need separate notes that you have to update.

The shared Brain keeps the correction available between sessions and across the crew. Tell it once, then the next mate can use that detail when helping with the job.

Keep the customer in the loop

A shared memory does not give a mate authority to make promises to the customer. Work sent outside the business follows draft, review and send. A mate can use the corrected planting detail to prepare a note or customer reply, then you review it before it goes out.

The crew’s activity log records what ran, when it ran and what it produced. You can check how a detail was used. Your horticultural judgement still guides what suits the site; the memory carries your decision forward.

Make the correction once

When a client changes their mind, update the shared detail. The crew can use it when it helps with the next step. You do not need to act on AI news or build a chain of tools yourself. The shared Brain is included in the WorkMate OS crew you would be buying.

For another example of business memory in practice, read the correction that never reached the whole office. If chasing payment after a job is the bigger headache, see the invoice chase between electrical jobs.
